Terms of Service

Plain language. No hidden surprises. Read this before you sign up.

These Terms of Service ("Terms") govern your use of the Crewinx platform and website ("Service"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. The Service

Crewinx provides cloud-based crew management software designed for construction contractors. This includes features for daily roll call, payroll calculation, subcontractor management, project tracking, and related tools.

We reserve the right to modify, add, or remove features from the Service at any time. We will give reasonable notice of material changes that affect existing paid functionality.

2. Accounts and Registration

To use Crewinx, you must:

  • Be at least 18 years of age
  • Provide accurate registration information
  • Be authorised to enter into this agreement on behalf of your company (if registering as a business)
  • Keep your login credentials secure and confidential

You are responsible for all activity that occurs under your account. Notify us immediately at hello@crewinx.co.za if you suspect unauthorised access.

3. Free Trial

We offer a 14-day free trial with full access to Pro features. No payment details are required to start a trial. At the end of the trial period:

  • You will be prompted to choose a plan and add payment details
  • If you do not subscribe, your account will be paused — not deleted
  • Your data is retained for 12 months after trial expiry
  • We will never charge you without your explicit consent

4. Subscriptions and Billing

4.1 Plans and Pricing

Crewinx is offered on three monthly subscription plans: Starter (R99/month), Crew (R199/month), and Pro (R399/month). Prices are in South African Rand (ZAR) and include VAT where applicable.

4.2 Payment

Subscriptions are billed monthly in advance. Payments are processed by Stripe, a PCI-DSS compliant payment provider. We do not store your card details.

4.3 Plan Limits

Each plan has limits on the number of projects, workers, and supervisor logins. If you exceed a plan's limits, you will be prompted to upgrade. Existing data is never deleted for exceeding limits — we pause the ability to add new records until you upgrade.

4.4 Upgrades and Downgrades

You can change your plan at any time. Upgrades take effect immediately, with prorated billing for the remainder of the current period. Downgrades take effect at the start of the next billing period.

4.5 Cancellation and Refunds

You can cancel your subscription at any time from your Settings. Your subscription remains active until the end of the current paid period. We do not offer prorated refunds for cancellations mid-period, except where required by law. If you believe a charge was made in error, contact us within 14 days and we will investigate.

5. Acceptable Use

You agree to use the Service only for lawful purposes related to managing construction crew and business operations. You must not:

  • Use the Service to store or transmit illegal content
  • Attempt to gain unauthorised access to any part of the Service or other users' data
  • Reverse engineer, decompile, or copy the Service
  • Resell or sublicense the Service without written permission
  • Use automated scripts or bots to access the Service
  • Violate any applicable law or regulation

We reserve the right to suspend or terminate accounts that violate these terms.

6. Your Data

You own all data you enter into Crewinx — worker records, payroll data, project files, and all other business data. We process this data on your behalf as a data processor under POPIA.

You can export your data at any time using our built-in export tools. On account termination, you may request a full data export within 30 days.

We will not use your business data for any purpose other than providing the Service.

7. Intellectual Property

The Crewinx software, brand, and all related intellectual property are owned by us. These Terms do not grant you any rights to our intellectual property except the limited right to use the Service as described herein.

You grant us a limited licence to use your data solely to provide and improve the Service.

8. Availability and Uptime

We aim to keep Crewinx available at all times, but we do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible. We are not liable for downtime caused by third-party infrastructure providers or events outside our control.

9. Limitation of Liability

To the maximum extent permitted by South African law:

  • The Service is provided "as is" without warranties of any kind
  • We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service
  • Our total liability to you for any claim arising from these Terms is limited to the amount you paid us in the 12 months preceding the claim

Nothing in these Terms limits liability for fraud, gross negligence, or death or personal injury caused by our negligence.

10. Indemnification

You agree to indemnify and hold us harmless from any claims, losses, or damages arising from your use of the Service in violation of these Terms, your violation of any applicable law, or any content you submit to the Service.

11. Governing Law

These Terms are governed by the laws of the Republic of South Africa. Any disputes will be subject to the exclusive jurisdiction of the courts of South Africa.

12. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated to registered users by email at least 14 days before taking effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
